Ukrainian Documents for Germany: Apostille and Sworn German Translation

For your Ukrainian documents to be accepted in Germany — for work, a residence permit, study, marriage at the Standesamt, or family reunification — two steps are required: an apostille on the Ukrainian document (Ukraine is a Hague Convention member, so the apostille is issued in Ukraine) and a sworn German translation (beglaubigte Übersetzung). Etalon handles both: we obtain the apostille in Ukraine and hand the document to our OWN sworn translator for Germany (vereidigter Übersetzer) — with no intermediaries and no double markup. A notarized translation starts from UAH 250 per document; the sworn translation and the apostille are quoted individually, and the state fee is paid separately. We work remotely across Ukraine and with the diaspora abroad via scans.

  • Full route for Germany: apostille on the Ukrainian document (in Ukraine) + sworn German translation (beglaubigte Übersetzung)
  • The sworn translation is done by Etalon's OWN sworn translators for Germany (vereidigter Übersetzer) — no intermediaries, no double markup
  • We cover the typical diaspora set: birth/marriage/divorce certificates, criminal record certificate, diploma with supplement, name change
  • Remote: scans online, originals via Nova Poshta, a free quote tailored to the receiving authority's requirements

What Germany requires of a Ukrainian document: apostille + sworn translation

Germany is a Hague Convention member, so a Ukrainian document is not consularly legalized for it but apostilled. The apostille is issued in Ukraine by the relevant ministry according to document type: civil-status certificates (birth, marriage, divorce) and the criminal record certificate are apostilled by the responsible authority, education documents by the education ministry. After the apostille, the document needs a sworn German translation — a beglaubigte Übersetzung, accepted in Germany by courts, the Standesamt, the Ausländerbehörde and employers.

An important mechanical detail: Ukraine has no institution of sworn translators — the sworn translator (vereidigter/beeidigter Übersetzer) is based in Germany. That is why we issue the apostille in Ukraine, while the sworn German translation is produced by our own sworn translator for Germany. You receive a ready package — apostille plus beglaubigte Übersetzung — from a single source, without hunting for a translator abroad.

Which Ukrainian documents are most often prepared for Germany

For the diaspora in Germany the typical set depends on your goal. For work and qualification recognition — the diploma and transcript supplement, employment record, work-experience certificates. For a residence permit and family reunification (Familienzusammenführung) — birth certificate, marriage certificate, and where relevant a divorce certificate and a criminal record certificate. For marriage at the Standesamt — a birth certificate and proof of marital status, apostilled and translated into German; the exact list is set by your specific Standesamt.

A common diaspora request is a name/surname change: so the spelling in your German documents matches your passport, we unify the transliteration of your name across all translations. Send the list of documents and your goal, and we will quote the whole package at once and tell you exactly what to apostille.

Why a sworn translation for Germany, not an ordinary notarized one

German institutions (the Standesamt, Ausländerbehörde, courts, universities, employers) accept a translation produced by a sworn translator accredited in Germany — that is the beglaubigte Übersetzung. An ordinary notarized translation made in Ukraine is mostly not suitable for submission in Germany: there it is not a Ukrainian notary who certifies, but the sworn translator personally, with their stamp and certification formula.

That is why, for Germany, we do not add unnecessary Ukrainian notarization but hand the document straight to our own sworn translator for Germany — with no intermediaries and no double markup. A notarized translation (from UAH 250) is relevant when the document is needed in Ukraine or when the receiving authority explicitly accepts it. If you are unsure which translation your German institution requires, we will check the requirements for your situation free of charge.

FAQ

What is needed for a Ukrainian document to be accepted in Germany?

Usually two steps: an apostille on the Ukrainian document (issued in Ukraine, since Ukraine is a Hague Convention member) and a sworn German translation (beglaubigte Übersetzung). Etalon does both: the apostille in Ukraine and the sworn translation by our own sworn translator for Germany.

Do you produce the sworn translation yourselves, or just find a translator?

We produce it ourselves. The sworn translation for Germany is done by Etalon's OWN sworn translators (vereidigter Übersetzer) — with no intermediaries and no double markup. We obtain the apostille in Ukraine and our translator does the sworn German translation; you receive a ready package from a single source.

Will an ordinary notarized translation work for Germany?

Mostly no. German institutions (the Standesamt, Ausländerbehörde, courts, universities) accept a sworn translation — the beglaubigte Übersetzung, certified by the sworn translator personally. A Ukrainian notarized translation fits when the document is needed in Ukraine or when the receiving authority explicitly accepts it. We check the requirements for free.

Which documents are needed for marriage at the Standesamt?

Usually a birth certificate and proof of marital status, apostilled in Ukraine and translated into German by a sworn translator; a divorce certificate where relevant. The exact list is set by your specific Standesamt, so send its requirements and we will quote accordingly.

How much does it cost to prepare a document for Germany?

A notarized translation starts from UAH 250 per document. The sworn German translation and the apostille are quoted individually, since the cost depends on the document, volume and timeline. The state fee for the apostille is separate. We name the exact amount after reviewing your scans.

Can it be arranged remotely while I am in Germany?

Yes. Send scans online — we obtain the apostille in Ukraine and produce the sworn German translation, then send the finished package via Nova Poshta within Ukraine or by courier abroad. No travel to Ukraine is required.
