Why translate your employment record book

The employment record book is the main document that officially records your work history: hire dates, positions, transfers and dismissals. Abroad it's requested in three typical cases. First, employment — a new employer wants verified experience in your field. Second, residence permits and legalization — immigration authorities check your work history and grounds for staying. Third, pensions — to count your Ukrainian length of service, another country's pension fund requires an official translation of the book. Unlike a short letter from one employer, the record book shows your whole career as a single continuous timeline, so the translation must be complete and accurate.

How this differs from a standard document translation

A standard document is usually a single page with a fixed template. The employment record book is more complex: a multi-page document with dozens of handwritten entries, abbreviations, stamps from different employers and often inserts as well. The translator must reproduce every line correctly, decipher faint stamps and preserve the chronology — otherwise the receiving body won't credit the service. That's why a record book is priced by actual volume (pages of 1,800 characters) rather than "per document", and demands careful cross-checking. We translate it in full, keeping the structure of the original.

When you need an apostille and when a notarized translation is enough

It depends on the destination country. For Hague Convention countries, an apostille is placed on a notarized copy of the record book, and a notarized translation follows. For countries that have a legal-assistance treaty with Ukraine (Poland, Czechia, Moldova and several CIS states), no apostille or legalization is needed — a notarized translation is enough. For non-Hague countries, consular legalization applies. Note: Ukraine has no sworn translators — a sworn translation is done by a translator in the destination country (Poland, Germany, Czechia, etc.), while inside Ukraine a notary only certifies the authenticity of the translator's signature.
