Document translation in Chernivtsi: old papers and foreign documents
In Chernivtsi two difficult kinds of document arrive for translation more often than elsewhere: an old form with a hand-written entry, and a paper issued by another state. Both translate perfectly well, and both need one step taken first — making sure the text is legible and the document is fit to be filed.
- A translation is made from text that can be read: an illegible entry is restored by a duplicate first
- A worn document is cheaper to replace with a registry-office duplicate than to translate twice
- A paper issued abroad is checked for the issuing country's apostille before translation
- In Chernivtsi documents cross the border both ways — and each side has its own requirements
The Chernivtsi subdivision of the interregional Ministry of Justice department works at 1 Hrushevskoho Street, and the administrative service centre at 7 Heroiv Maidanu Street and 2 Ivana Pidkovy Street.
A document that is decades old
Old certificates differ from new ones in more than appearance. They carry hand-written fields, faded seals, corrections attested by another seal, and wordings no modern form uses. Such a document can be translated, and we do it regularly — but a translator reproduces what was read, not what ought to have been written.
Hence the first rule: if you cannot read an entry, neither can the translator. In that case the cheaper route is not to insist on a translation but to obtain a duplicate at the registry office, where the civil-status record itself is kept. A duplicate looks like a new form, reads without effort, and moves through filing faster.
| State of the document | What we do | Why |
|---|---|---|
| Legible text, old form | translate as it is | a translation reproduces the document |
| Some entries illegible | we advise a duplicate | a translator does not guess text |
| Torn or taped document | a duplicate first | a damaged form may be refused |
| Issued by another state | we check the issuing country's apostille | without it a translation will not help |
A translation neither corrects nor completes a document
This is a boundary worth knowing in advance. If the document contains an error, the translation reproduces it — otherwise the two papers stop matching each other. If a field is empty, it stays empty in the translation. If a seal is illegible, the translator marks it as illegible rather than inventing the name of the authority.
So with a problematic document we start with a conversation rather than with the work: sometimes the right advice is to restore the document first, so that the translation is made once. It is one of those rare cases where declining to start immediately saves the customer both money and a week.
A document from abroad: what to check first
For a foreign document to be accepted in Ukraine a translation is usually not enough: it needs an apostille or another attestation from the state that issued it. The order here is the reverse of the usual one — the stamp in the issuing country first, the Ukrainian translation here second. Done the other way round, the translation will not cover the stamp and will be asked for again.
In Chernivtsi oblast this is not a theoretical question. It holds the country's largest Romanian community — 114,600 people, 12.5% of the oblast population per the 2001 census — and Yuriy Fedkovych University runs Romanian-language programmes and exchanges with the universities of Suceava and Iaşi. Documents cross this border constantly in both directions, and each side has requirements of its own, best taken in that institution's own words.
Where documents are filed in Chernivtsi
Apostilles on documents of the justice bodies are handled by the Chernivtsi branch of the Ivano-Frankivsk inter-regional department of the Ministry of Justice at 1 Hrushevskoho Street. For you that means filing happens inside the city; since February 2026 the same can be done through Diia or with any notary.
Administrative services are handled by the administrative service centre: the central office at 7 Heroiv Maidanu Street and the Sadhirskyi district branch at 2 Ivana Pidkovy Street. A translation is not handed in there — it is attached to the document at filing, so it can be ordered in parallel with a trip for the other certificates.
How we work
- 1A photo of the whole documentSend a shot of the entire form, including seals and the reverse if it carries entries.
- 2We say whether a duplicate is neededIf part of the text is illegible we advise restoring the document rather than translating twice.
- 3Translation and certificationWe translate what the document says and certify it as your recipient requires.
- 4HandoverCollected in person in Chernivtsi or sent by Nova Poshta.
Prices
- Standard document certificate, passport, diplomafrom UAH 150
- Translation with notarial certification per documentfrom UAH 250
- Old form, archival certificate, extract priced per documentby volume
Prices are starting figures: the total depends on language, volume and deadline. An old hand-written form is priced by volume, because it needs more proofreading.
FAQ
How much does document translation cost in Chernivtsi?
A standard document starts at UAH 150 and a translation with notarial certification at UAH 250. Old forms, archival certificates and extracts are priced by volume because they need more proofreading.
Can a document with barely visible text be translated?
Partly. The translator reproduces what was read and marks illegible places as illegible — guessing is not allowed. If there are many such places, a registry-office duplicate is the cheaper route.
The document was issued abroad. Is a translation enough?
Usually not: a foreign document needs an apostille or another attestation from the issuing state, and only then a Ukrainian translation. The order matters — the translation must cover the document and the stamp on it.
Can a translation correct an error in the document?
No, and it should not: a translation reproduces the document, or the two papers stop matching. The error is corrected by the authority that issued it, and the translation is then made from the corrected one.
Do I need to bring the original?
A photo is enough for the quote and the translation. The original is needed where the translation is bound to it; if a notarial copy satisfies the recipient, the original stays with you.
