Document translation in Zaporizhzhia: what you can do yourself
Part of the work with documents you really can do without an intermediary: a criminal-record certificate with its apostille is ordered online, and since February 2026 a Justice-category document can be filed for an apostille through Diia or at any registry office or notary. A translation for official filing, however, cannot be self-made: a notary certifies the translator's signature rather than the text, and you cannot sign in a translator's place.
- A criminal-record certificate with apostille is ordered online in Diia — no bureau needed
- Since 1 February 2026 a Justice apostille can be filed through Diia or at any registry office
- A translation for filing is never self-made: the notary certifies the translator's signature
- Zaporizhzhia has no Ministry of Justice department of its own — and after the reform that no longer means travelling
Zaporizhzhia region is served by the Dnipro interregional department of the Ministry of Justice, but there is no need to travel there: since 1 February 2026 filing goes through Diia or any registry office and notary.
What you really can do without a bureau
Three things. First, order a criminal-record certificate or extract with the apostille already on it: that is done online in Diia and delivered by Ukrposhta, with no visit to the ministry and no intermediary. Second, file a Justice-category document for an apostille: since 1 February 2026 that is possible through Diia, and on paper at any registry office, notary or state archive — not only where you are registered. Third, obtain a duplicate certificate at a registry office if the original is lost or worn out.
We say this plainly, because the next paragraph makes no sense otherwise: if three of the four steps can be taken alone, the fourth — the translation — remains with us not because the procedure is hard but for a formal reason.
| Step | By yourself | Why |
|---|---|---|
| Criminal-record certificate with apostille | yes, online in Diia | the service is built for the applicant |
| Filing for a Justice apostille | yes — Diia, registry office, notary | the reform of 01.02.2026 |
| Duplicate of a certificate | yes, at a registry office | issued by the registering body itself |
| Translation for official filing | no | a notary certifies the translator's signature |
Why a translation for filing cannot be self-made
Notarial certification is not about the quality of the text but about who produced it: the notary attests the translator's signature and sees proof of their qualification. So a text translated well by yourself cannot be certified — not because it is poor, but because the signature beneath it is the wrong one. The same holds for a translation done by a philologist relative or a colleague with good English.
Hence a practical conclusion for anyone looking to save: the saving is not in the translation but in avoiding extra copies and repeat orders. Collect the whole list of documents at once and name the recipient — that lowers the total far more than any attempt to translate something yourself.
Machine translation: where it helps and where it hurts
It helps with one thing: understanding a foreign document someone has sent you. A free translator on a phone is enough for that, and we will not pretend otherwise.
It hurts where the document goes into a file. A machine does not hold names and titles consistent, renders the same institution differently at the start and the end of a text, drops handwritten notes and signatures inside seals — and, above all, answers for nothing. If such a text is taken to be certified, the notary will not attest it, and the work has to be done again: one document paid for twice.
Zaporizhzhia without a Justice department of its own: what that changes
Zaporizhzhia oblast belongs to the territory of the Dnipro inter-regional department of the Ministry of Justice — the city has none of its own, and that fact used to mean a trip to Dnipro. Since the reform that took effect on 1 February 2026 it means almost nothing: a document can be filed from home through Diia, or on paper with any notary and at any civil registry office.
Administrative services in the city are handled by the administrative services department of the Zaporizhzhia city council. The translation in this chain is tied neither to the city nor to an authority: it is needed where the document will be read, and it can be ordered from anywhere — we work from photographs and the finished package arrives by Nova Poshta.

FAQ
How much does document translation cost in Zaporizhzhia?
A standard document starts at UAH 150 and a translation with notarial certification at UAH 250. Technical and production documentation is priced by volume. The price depends on language, volume and deadline.
Can I translate a document myself and have it notarised?
No. Certification is about who signed, not about how good the text is: the notary sees the translator and their proof of qualification. A text produced by you or by an acquaintance has nobody certifiable behind it, however well it reads.
What can I genuinely do without you?
Three things: the certificate with its apostille, the apostille filing itself, and a duplicate from the registry. All three are designed for the applicant, which is why we send you to them instead of charging for them.
Is machine translation enough just to understand a document?
To understand it, yes. To file it, no: a machine does not keep names and titles consistent, loses handwritten notes, and no notary will certify such a text.
Do I have to travel to Dnipro if the department is there?
No. Jurisdiction and the place of filing are two different things: the oblast is assigned to the Dnipro department, but the document is accepted wherever suits you. The trip to Dnipro was mandatory until 1 February 2026, and that is precisely what the reform abolished.
