Why Dnipro residents arrange translations remotely

Sworn vs notarial translation vs apostille - the difference

These three concepts are often confused, yet requirements differ by destination country.

Notarial translation is the Ukrainian format: a translator produces the translation and a notary certifies the authenticity of the translator's signature. Within Ukraine, notarial certification is the official domestic form.

Sworn translation is the format used in a number of EU countries, where a sworn (court) translator both performs and certifies the translation with their own seal. Etalon has its own sworn translators, so we produce sworn translation (for example, into Polish) ourselves rather than through intermediaries. For Germany, the final beglaubigte translation is often best done locally by a sworn translator in Germany - and we say so honestly.

An apostille is a stamp confirming the authenticity of a Ukrainian document abroad for Hague Convention countries. Do not confuse the authorities: the apostille on educational documents (school certificates, diplomas, supplements, including medical diplomas) is placed exclusively by the Ministry of Education and Science (MON); the apostille on civil-registry and notarial documents is placed by the Ministry of Justice. The Ministry of Foreign Affairs (MFA) plays no role in apostille - it is involved only in consular legalisation for countries outside the Hague Convention. Document checklist: Germany

For Germany you most often need a foreign passport, a birth certificate, a marriage or divorce certificate, a diploma with its supplement, and a criminal-record certificate. The typical logic for German authorities is this: first the Ukrainian original is apostilled in Ukraine (educational documents via the Ministry of Education and Science, civil-registry documents via the Ministry of Justice), and only then a sworn (beglaubigte) German translation is made, most often by a sworn translator in Germany.

German institutions do not always accept a Ukrainian notarial translation, so for Germany we primarily help with the apostille on originals via the Kyiv ministries and advise honestly when the final translation is better done locally. The exact requirements depend on the federal state (Bundesland) and the institution - they should be confirmed in advance with the receiving party, since it is the body that decides whether to accept the document.

Checklists: Poland and Czechia

Poland. The basic package: foreign passport, birth and marriage certificates, diploma with supplement, criminal-record certificate. For study and official procedures, educational documents usually require a MON apostille, and the translation a sworn (przysięgły) one into Polish; that translation is done by our own sworn translators. Reminder: the Dnipropetrovsk region is served by the Polish Consulate General in Kharkiv, so Dnipro residents already complete consular steps in another city.

Czechia. A similar package: passport, civil-registry certificates, diploma, criminal-record certificate. Czech authorities often require an apostille on the Ukrainian original (educational via the Ministry of Education and Science, civil via the Ministry of Justice) and a Czech translation done according to their requirements (often by a court translator in Czechia). Because the rules depend on the specific institution, we agree the final list according to your goal: study, employment, family reunification or a residence permit.
