Diploma and transcript (grade sheet): why both documents are translated

The diploma confirms your qualification, while the diploma supplement (grade sheet, transcript of records) lists subjects, contact hours and ECTS credits. Foreign universities, employers and recognition authorities look specifically at the transcript to compare your programme with their own, so translating the certificate alone without the transcript is almost always pointless - the set comes back for completion.

We translate the diploma and transcript as a whole: the same transliteration of your surname, of subject titles and of the institution's name across both documents. This matters for Dnipro graduates - for example, Dnipro State Medical University and Oles Honchar Dnipro National University have established English names, and if the university is spelled differently in the diploma and the transcript, the document can be rejected. We check your surname against your international passport so the translation matches all your other documents with a single transliteration. We also handle the grading scale carefully: Ukrainian marks and ECTS grades are presented so the receiving side understands the correspondence, without inventing non-existent conversions.

Two journeys for Dnipro graduates: going abroad and legalising a Ukrainian diploma

The first journey is a Ukrainian graduate going abroad to study or work. A graduate of Oles Honchar Dnipro National University or another Dnipro institution usually needs, for Poland, Germany or Czechia, the set "original diploma + MON apostille + translation of the diploma and transcript". For Poland, institutions increasingly require a sworn translation (tłumaczenie przysięgłe) - which we produce with our own sworn translators, no intermediaries.

The second journey is a foreign graduate of a Dnipro institution - above all the large Faculty for Foreign Students at Dnipro State Medical University - legalising a Ukrainian medical diploma for their home country. Here you need a MON apostille on the diploma and often on the transcript, sometimes a double apostille (on the original and on the notarised translation), plus a translation into the destination country's language. For countries outside the Hague Convention, consular legalisation applies instead of an apostille. We build the correct sequence for each case so the translation does not have to be redone after the apostille.

For Dnipro Medical University graduates: legalising a doctor's diploma for your home country

Dnipro State Medical University has a large Faculty for Foreign Students - many graduates (including from India and other countries) return home each year and must legalise their Ukrainian medical diploma to sit licensing exams and practise. Important: the apostille on a doctor's diploma, as on any education document, is issued exclusively by MON - the Ministry of Health plays no part in apostilles. For most countries you need a MON apostille on the diploma and transcript, then a professional translation into the required language, and for countries outside the Hague Convention - consular legalisation instead of an apostille.

We file the apostille for you in Kyiv (MON for both the diploma and the transcript) and prepare the translation with correct medical terminology and a consistent Latin transliteration of your surname per your passport. A double apostille is often required - first on the original, then on the notarised translation; we state the correct order in advance so you do not pay twice. Medicine is a regulated profession, so final admission to practice in your country is decided by its licensing authority, not by a translation bureau; we are responsible for a correct, formally acceptable document set.

Countries outside the Hague Convention: consular legalisation instead of an apostille

An apostille is valid only for countries that are parties to the Hague Convention. If your destination country has not joined it, an apostille will not do - you need full consular legalisation, which is a longer chain: first certification by MON (for education documents), then the Ministry of Justice, then the Ministry of Foreign Affairs (MFA), and the final step - the consulate of the country concerned. Only at this stage, in consular legalisation, does the MFA come in; it has no role in an apostille at all.

For foreign Dnipro Medical University graduates this is the key point: we determine in advance whether your country is in the Hague Convention and build the correct route - either a MON apostille or the consular chain MON > Ministry of Justice > MFA > consulate. We submit scans and originals for the Kyiv stages on your behalf under a power of attorney, and we produce the translation into the destination language so it aligns with the consulate's requirements. The final formal requirements are always confirmed by the receiving side itself - we prepare the documents to meet them.

Medicine is a regulated profession: longer recognition in Germany, Poland, Czechia

For doctors, diploma recognition is more complex than for most fields, because medicine in the EU is a regulated profession. In Germany you need recognition of your education (Anerkennung) by the relevant state authority, often with an equivalence review and an exam; in Poland, doctors from third countries go through nostrification of the diploma by a Polish university. This is a longer route than a simple document submission, and timelines depend on the authority, not on us.

Our job is to prepare a clean starting package: the MON apostille on the diploma and transcript, and an accurate translation (sworn for Poland, professional for Germany/Czechia) with consistent terminology and transliteration. We do not guarantee the foreign authority's decision and do not promise "shortcuts" that do not exist - instead we help you avoid the typical reasons for refusal: surname-spelling mismatches, an untranslated transcript, or the wrong order of apostille and translation.

The Polish route: sworn translation and diploma nostrification

To enrol at a Polish university or to nostrify (recognise) a Ukrainian diploma in Poland, you almost always need the diploma and transcript with grades and hours, the MON apostille on the diploma, and a Polish translation. Many institutions require specifically a sworn translation, produced by a tłumacz przysięgły listed in the register of Poland's Ministry of Justice. Note that, by consular district, the Dnipropetrovsk region is served by the Consulate General of the Republic of Poland not in Dnipro but in Kharkiv, so some Polish formalities are easier to prepare remotely in advance.

Nostrification (formal recognition) is carried out by the Polish university itself and is a separate paid procedure on its side; we prepare a correct document package to its requirements but do not guarantee the university's decision, which is beyond our control.
