Document translation in Rivne: how to check it will be accepted
A finished translation can be checked by yourself in five minutes — better than learning about a mistake while queuing to file. Four things matter: the spelling of the name, the numbers, the description of every seal, and the integrity of the binding with the document. We publish that checklist openly, because finding a mistake before filing is cheaper for you and for us.
- Checking a finished translation takes five minutes and saves a trip
- Four points: the name, the numbers, the seals, the binding — the rest is the translator's craft
- If a translation is refused there are usually three reasons, each with its own remedy
- In Rivne you can file at Prosvity Square, in Kvasyliv or at the shopping centre
The civil-registration office in Rivne works at 8 Kavkazska Street — a subdivision of the Lviv inter-regional department of the Ministry of Justice, so duplicates do not require a trip to Lviv.
Four things worth checking yourself
First, the name: it must match the way it appears in the document you identify yourself with when filing. Second, the numbers: dates of birth, registration and issue, the document's number and series. A translation reproduces them exactly, and one transposed digit makes it a different document.
Third, seals and stamps: each one must be described in the translation, including the text around its rim, and illegible places marked as illegible. Fourth, the binding: the sheets are fastened to each other and to the document or its copy rather than tucked in loose. If any of that is wrong, tell us before filing: correcting our own mistake costs nothing.
| What to look at | What to compare with | Why it matters |
|---|---|---|
| Name and surname | the ID you file with | a mismatch reads as a different person |
| Dates, number, series | the document itself | this is what identifies it |
| Seals and stamps | every one on the document | an uncovered stamp is sent back |
| Binding and sheet count | the set you received | an unbound translation may be refused |
What is not a sign of a good translation
Neither paper weight, nor a colour stamp, nor the number of signatures makes a translation usable. Two things do: correct text and the certification the recipient asks for. So there is no point paying extra for a «more official look» — no procedure has such a criterion.
The reverse holds too: a plainly presented translation with the right certification is accepted without question. If you are offered an extra service, ask which requirement of the recipient it answers; if there is no such requirement, the service is not needed either.
A refused translation: three possible reasons
First, the wrong kind of certification: notarial was required and a bureau stamp was provided, or the other way round. That is cured by certifying again rather than translating again, so it costs less than it seems. Second, a mismatch between the name in the translation and in your ID; what is needed there is an agreed form of the name, sometimes with the document explaining its change.
Third, an incomplete set: the recipient expected the document together with a supplement, a certificate or a second copy. That is the most common case and the only one where the translation is not the issue at all. In any of the three, send us what the institution told you — that sentence shows which step is needed.
Rivne: where to file and who serves the region
Civil-status records for the region are kept by the civil-registration office of the Lviv inter-regional department of the Ministry of Justice — in Rivne it works at 8 Kavkazska Street, although the department itself sits in Lviv. For you that means certificates and their duplicates require no trip to Lviv.
Administrative services are handled by the administrative service centre: the head office at 2 Prosvity Square, with branches in Kvasyliv and at the shopping centre at 5 Serhiia Bachynskoho Street. A translation is not handed in there: it is attached to the document at filing. It can be ordered without coming in person — we work from photographs and send the finished set by Nova Poshta.

FAQ
How much does document translation cost in Rivne?
A standard document starts at UAH 150 and a translation with notarial certification at UAH 250. Certificates, extracts and contracts are priced by volume.
How can I check a translation if I do not know the language?
By four points that need no language: the Latin spelling of the name, all numbers, the presence of a description for every seal, and the integrity of the binding. Almost every mistake noticed at the counter is one of those four.
The translation was refused. Does everything have to be redone?
Usually not. If the issue is the kind of certification, certifying again is enough; if it is the set, adding what is missing is enough. A full new translation is needed only when the document itself has changed.
Should I pay extra for a «better-looking» translation?
No. Usability is decided by the text and the certification, not by paper or signatures. If an extra service is offered, ask which requirement of the recipient it answers.
Can I order without coming to Rivne?
Yes. Photographs are enough for the quote and for the work, and we send the finished set by Nova Poshta. The original is needed only where the translation is bound to it.
