Translating the Rezerv+ military record: for consulates, temporary protection and departure

Since 16 December 2025 the electronic military-record document from the Rezerv+ app has been Ukraine’s primary military-record document: the electronic form and its printout carry the same legal force as a paper military ID. Ukrainian consulates abroad ask for it, and since 6 August 2026 so does Slovakia when a man aged 18 to 60 applies for temporary protection.

This page covers what the holder of the document actually needs: how to generate the PDF with its QR code, how Rezerv+ differs from a certificate issued at a service centre or a recruitment office, and above all which translation will be accepted where you are filing. What the military-record document is and what changed

The military-record document evidences your military registration status. Since 16 December 2025 the electronic version from Rezerv+ or Diia has taken precedence: new paper booklets are no longer issued, while military IDs and temporary certificates handed out earlier remain valid. One nuance is worth knowing in advance: where the data in a paper document diverges from the Oberih register, the electronic entry is the one that counts.

Two things follow for you. Your printout is filed as a document in its own right rather than as a copy, which is precisely why it never goes to a notary and why the translator works from it directly. And the status inside it does not stand still: the QR code resolves to a live register entry, so a file you saved on your phone a month ago will show an officer something other than a fresh one would.

How to obtain the extract, and what the document looks like

The fastest route is the app itself: open the military-record document, choose the PDF download and save the file. What you need is the PDF with a legible QR code; a screenshot is accepted neither by a consulate nor by the Slovak foreign police. The same document can be ordered through the Diia portal (processed within ten minutes), and if the app is unavailable, a printout from the register is issued at an administrative service centre or a recruitment office.

Inside you will find data from the register of conscripts, reservists and persons liable for service, any deferment details, and the QR code itself. A copy without a photograph carries the same force as one with a photograph, so its absence is no reason to hunt for a "proper" form. And the point most people miss: after any change in your data the document has to be generated again, because the old file still shows the old entry.

Where the document is asked for abroad

Ukrainian consular offices. Without a valid military record a man aged 18 to 60 simply will not be served, and either form works: the electronic one from Rezerv+, including a printout with a readable QR code, or a paper one. Freshness is part of the rule here too: anything older than three days at the moment of your visit is turned away, so prepare it the evening before or the same morning.

Slovakia. Men of conscription age have had an extra condition attached to temporary protection since 6 August 2026: they must show that their military obligations are being met. It bites on first and repeat applications alike, and there are two ways to satisfy it, a recent border exit stamp in the passport or the Rezerv+ document on paper with an official translation into Slovak or English. That route is set out in detail on our Slovak page. Other EU states are moving the same way, each on its own terms, so we verify those case by case.

Which translation is accepted: notarised in Ukraine or sworn in the country of filing

This is where money is most often wasted. A notarised translation made in Ukraine is frequently asked to be confirmed abroad; in Slovakia, for instance, a translation produced outside the country usually needs confirmation from a Slovak diplomatic mission that an authorised person made it. A translation bought "just in case" at home therefore sometimes has to be bought again on arrival.

Our answer is simple: if the document is filed in Slovakia, the translation is produced by our own súdny prekladateľ in Bratislava, with the clause, the stamp and binding to the printout, exactly as the foreign police expects it. If the document is for a Ukrainian consulate or for an authority that accepts a notarised translation, we do that one in Ukraine and sell you nothing extra.

Four mistakes that get the document sent back

First, a screenshot instead of the PDF. Neither a consulate nor the foreign police accepts it; the file with a readable QR code is what counts. Second, a document generated long before the visit: the QR code points to the live register entry, and consulates apply the explicit 72-hour rule.

Third, an inconsistent spelling of your name. Passport, document and translation must agree; a transliteration mismatch sends the file back for correction. Fourth, the wrong type of translation, notarised where a sworn one is expected. We check all four before taking the job on.

FAQ

Does a Rezerv+ printout have legal force?

Yes, and that is the whole point of it. Ukrainian law puts the app version and its printout on the same footing as the old booklet, so it is in no sense a second-class copy. That is also why no notary is involved: there is no paper original standing behind the sheet for anyone to certify it against. The translator simply binds the translation to the sheet you bring.

Can the Rezerv+ document be apostilled?

In practice, no. Apostilles were designed for paper instruments bearing the signature and seal of an issuing office, and a file generated inside an app has none of those physical features to certify. Slovakia does not ask for one here either: its conditions talk about an official translation, plus either certification by a Ukrainian diplomatic mission or a live check in the app. If the office you are dealing with insists otherwise, we establish that before you order.

How long does the electronic document stay current?

There is no formal expiry, but the document reflects your status at the moment of generation. Ukrainian consular services apply an explicit rule: no earlier than 72 hours before the visit. Treat other authorities the same way and generate it the day before.

I need the translation for Slovakia. Should I have it done in Ukraine?

Better not. A translation produced abroad is usually asked to be confirmed by the Slovak side, and you pay twice. We produce it in Bratislava through our own súdny prekladateľ, so the foreign police accepts it without further steps.

What if I am filing in another EU country as well?

Then an English version makes sense, since Slovakia accepts English too. Requirements elsewhere differ, so we verify them for your specific case rather than assuming.

Do you translate the paper military ID?

Yes. Paper documents remain valid and we translate them under the ordinary rules, with notarisation in Ukraine or as a sworn translation in the country of filing.

Can everything be done remotely?

Yes. You send scans or the PDF online; we deliver by courier in Ukraine, by post across Slovakia, or hand the documents over at our Bratislava office. No travel is required.
