Apostille in Cherkasy: a first-timer’s guide

If you first heard the word "apostille" a week ago from a foreign university or employer, this page is for you. An apostille is a stamp that makes a Ukrainian document valid in 120+ Hague Convention countries. Since 1 February 2026 most documents are filed right in Cherkasy or from a smartphone via the Diia app: up to 3 business days. What an apostille is – and whether you need one at all

An apostille certifies the authenticity of the signature, the signer’s capacity and the seal on a Ukrainian document, so that institutions of another country accept it. It does not review the content and does not replace a translation – it vouches for the document’s origin. It works in 120+ Hague Convention countries, from Poland and Germany to Canada and the UAE.

First check whether you need the stamp at all: countries outside the convention require consular legalisation – a different, multi-stage procedure – while some states have legal-assistance treaties with Ukraine and accept documents with no stamp whatsoever. So the first step is the requirement of the specific institution – the university, employer or migration office – and only then the fee.

Three agencies instead of a single window

The classic first-timer mistake is looking for a "single apostille office". It does not exist: the agency depends on the document. The Justice Ministry apostilles civil-registry certificates, notarial copies and court rulings; the Education Ministry – diplomas, supplements and school certificates; the Interior Ministry – the criminal-record extract (Cabinet resolution No. 631, in force since 2023).

Everything else follows from the agency: where to file, how long to wait and what to pay. The Justice category is the fastest at up to 3 business days; Education-Ministry timelines are longer; the Interior-Ministry extract is easiest to order online, already stamped. Filing in Cherkasy: the registry office at 3 Nebesnoi Sotni St – or Diia

Since 1 February 2026 (order No. 3177/5) the apostille application for Justice-category documents is accepted at any DRACS office, at a notary or in a state archive – in Cherkasy, notably, at the civil-registry office at 3 Nebesnoi Sotni St. The second road is even shorter: the application goes through the Diia app from a smartphone, where you also track readiness. The rules are the same at every intake point: the state fee is already inside our price (higher for legal entities), up to 3 business days with a lawful extension to a month when a signature or registry record is verified.

Diplomas (Education Ministry) and criminal-record extracts (Interior Ministry) are filed through Kyiv – but no trip is needed: the bureau files them for you, and in Diia the extract is ordered together with its apostille and delivered by Ukrposhta.

Translation second, not first – and the remote model

Intuition says to start with the translation – after all, that is what the foreign institution asks for. The order is actually the reverse: the apostille goes on the original or a notarised copy first, and the translation then covers the document together with its stamp – consulates and universities want everything translated, the apostille included. A translation made in advance often has to be redone and paid for twice; we confirm the sequence for your destination country before starting.

If you have one Justice-category document and the Diia app, file it yourself – since February 2026 the procedure is genuinely simple. The bureau earns its keep when documents span several agencies, when the filing is Kyiv-side, when a notarised translation is needed, or when you are already abroad. Etalon has no office in Cherkasy and needs none: scans travel by messenger, originals by Nova Poshta, and the finished set returns to any branch or parcel locker in Cherkasy or wherever you live now.
