Document translation in Kyiv: who accepts it and what they require

A translation is never ordered «in general» — it is ordered for one recipient, and a Ukrainian authority, a foreign mission, a university and a court each require different certification of the very same document. In Kyiv almost every one of those recipients is in the same city as you, so a mistake in the type of certification costs a day rather than a week of post. A standard form starts at UAH 150, a translation with notarial certification at UAH 250; what you need in your case we will tell you from a photo.

  • The type of certification is set by the recipient: ask for their wording, not whether a translation is needed
  • In Kyiv the central authorities and the foreign missions are on-site — a set can be redone the same day
  • Order matters: sometimes the translation follows the stamp, sometimes a notarial copy replaces the original
  • The language is chosen by whoever accepts the document: a Ukrainian authority — Ukrainian, a foreign one — its own

The apostille department of the Ministry of Justice at 13 Horodetskoho Street takes documents in the morning and issues them after midday, and the Ministry of Internal Affairs at 10 Bohomoltsia Street handles criminal-record submissions: in Kyiv the recipient is almost always in the same city as you.

Four kinds of recipient and what each one asks for

Recipients fall into four groups and the difference is practical rather than formal. A Ukrainian authority — a registry office, an administrative service centre, the pension fund, a notary — works with Ukrainian text and almost always asks for notarial certification of the translator's signature. A foreign mission in Kyiv accepts the document in its own state language and often requires the translation to cover the apostille as well, not only the document.

The third group is education: for admission and recognition a diploma is translated together with its supplement, and completeness matters here as much as certification. The fourth is courts and law enforcement, where what decides the outcome is less the type of certification than the precision of the terms and the completeness of the text, because the document goes into a case file.

Why a mistake in Kyiv costs a day, not a week

Kyiv is where the central authorities themselves sit: the apostille department of the Ministry of Justice works at 13 Horodetskoho Street, taking documents in the morning and issuing them after midday, while submissions to apostille a criminal-record certificate are accepted by the Ministry of Internal Affairs at 10 Bohomoltsia Street. For other cities the February 2026 reform — filing through Diia and the local registry offices — was a real relief; for Kyiv residents it added little, precisely because everything was already here.

The practical consequence is about the translation rather than the apostille. If the recipient does not accept your set, redoing it in Kyiv is one day and one trip instead of a week of post each way. So the question «which certification exactly do you accept» is worth asking before you order: it saves not money but that same day, which in the capital is usually the bottleneck.

What comes first: the translation, the stamp or a notarial copy

The order is set by whoever accepts the document, and it is the third thing worth asking along with the type of certification. When a document is apostilled, the translation usually follows the stamp so that it covers both the document and the stamp itself; done the other way round, a foreign recipient sees an uncovered stamp and asks for it again.

The second fork is what the translation is bound to. Some institutions require binding to the original, others accept a notarial copy — and then the original stays with you. Those two answers decide both the deadline and whether paper needs to travel at all, and both belong to the recipient rather than to us.

The language of a translation is not the customer's choice

For filing inside Ukraine the text has to be in Ukrainian — regardless of the language you speak and of the language the original is written in. For filing abroad it has to be in the language of the receiving state, and there an extra condition appears: some countries recognise only a translation made by a sworn translator accredited with them.

Hence the advice that saves doing the work twice: before ordering, ask not only «which language» but also «whose translation do you accept — any certified one, or only a sworn one made in your country». The answer to the second question changes both the translator and the deadline, and one email to the mission gets it.

FAQ

How much does document translation cost in Kyiv?

A standard form starts at UAH 150 per document and a translation with notarial certification at UAH 250. Court rulings, extracts and medical reports are priced by volume. The price depends on language, volume and deadline, and a quote from a photo is free.

What translation does a Ukrainian authority accept?

Ukrainian text, with the translator's signature certified by a notary — and the type of authority changes that very little. What does change is the wording of the requirement, so it is worth taking verbatim from the body you are filing with: it is what defines the work.

Translate before or after the apostille?

Ask the institution that will accept it — the recipient has the final say. As a rule the stamp goes first, because a translation finished earlier cannot describe a stamp that was not yet there.

Do I need to come to your office?

No. A photo is enough for the quote, and in Kyiv the finished set can be collected in person the same day it is ready or sent by Nova Poshta. Paper is needed only where the translation is bound to the original itself.

Will your translation be accepted by an embassy?

It depends on the state: some accept any certified translation, others only a sworn one made by a translator accredited in that country. Ask the mission before ordering and we will tell you which of the two fits your case.

What our customers say

  • Aleks Semenyuk
Відмінний сервіс. Виникла негайна потреба день-в-день зробити нотаріально засвідчений переклад закордонного паспорта для ЦНАП. Більшість бюро перекладів відмовлялось від цієї роботи через особливості документу. Дане бюро все зробило оперативно, за 3 години від першого дзвінка мав на руках готовий переклад, який успішно прийняли в ЦНАП. Зручне місцерозташування, легко знайти.
  • Ira Volkova
Дуже дякую даному бюро перекладів. Замовила переклад 5 документів, з нотаріальним засвідченням, з фінської мови, вчора. З менеджером уточнили всі деталі. Сьогодні вже все було готово, що мене дуже приємно здивувало, так як інші бюро казали, що потрібно тиждень часу або доплата за швидкість. Швидко, якісно і не дорого! Рекомендую.
