Medical document translation in Kyiv
A medical translation is accepted not by an abstract institution but by a specific recipient: a visa centre, a clinic abroad, an insurer or an admissions office. Their requirements differ, and it is the recipient who decides whether notarial certification is needed, whether the bureau stamp is enough, and whether an apostille comes into it.

Kyiv is where the visa centres and consulates sit alongside the one ministry that apostilles medical documents. The whole route - translation, certification, apostille, filing - therefore fits into a single day of moving around the centre, and more often needs none of it: you send the scans, a courier brings the documents.
Who receives the document, and what they ask for
The format of a medical translation is set by the recipient, not by the document. Visa centres and migration services almost always want notarial certification. A clinic abroad is usually satisfied with the bureau stamp, because what matters to it is the accuracy of the text rather than a Ukrainian notarial procedure. An insurer looks at amounts and prescriptions, so for them the figures and the drug names are what count.
We ask that question first. If you have a letter or a checklist from the institution, send it along with the scans: verifying the requirement once is cheaper than paying for a certification nobody needed.

The MFA apostille: why Kyiv is the shorter route
People get medical documents wrong in almost exactly one place: the apostille is issued by the MFA, the Ministry of Foreign Affairs, and not by the Ministry of Health. For a client in another region that means shipping the document to the capital and back. A Kyiv resident does not have that step at all: the ministry is here, and we handle the filing under a notarial power of attorney.
What geography does not shorten is the turnaround. The delay appears when the MFA decides to check the document against its issuer: that query stretches processing to 20 business days and beyond. That is not our queue and not our speed, so a promise of "an apostille on a certificate in a day" should be read as a warning about the provider.
The apostille costs from UAH 950, state fee already included. Before filing, a state-issued medical certificate is usually pre-certified by the health authority; whether that step applies to you is something we check at the assessment stage.
Why medical translations get sent back
The reasons are almost always small and repetitive. The most common is a mismatch in the surname: one transliteration in the passport, another in the translation, and the institution sees two different people. So we reconcile the spelling of names against the passport before the text goes to layout.
The second is medication. Trade names differ between countries, so we bring them to international non-proprietary names and carry dosages across digit for digit. The third is illegible handwriting: we do not guess at it, we ask, which is exactly why handwritten extracts are quoted only after we have seen the scans.
Classifications get their own attention: an ICD-10 code has to stay a code and not turn into a translated diagnosis. The finished text is proofread against those four things specifically.
Bureau stamp or notary: how not to overpay
What the notary actually does: confirm that whoever signed the translation holds the relevant qualification. The medical content itself is none of their business. That costs from UAH 250 per document and is far from always necessary - but finding that out after paying is unpleasant, so we establish the requirement in advance.
If the document is going to a clinic abroad for treatment, the bureau stamp is usually enough. If it goes to a state institution, Ukrainian or foreign, certification will almost certainly be needed. The in-between case, an insurer, depends on the particular policy.

Where do I start if I do not know what is being asked of me?
Send the scans and name the institution you are filing with. We check the requirement and tell you whether the bureau stamp suffices, whether a notary is needed, and whether it reaches an apostille. That is free and takes the same working day.
Why does the MFA issue the apostille rather than the Ministry of Health?
In Ukraine the apostille is split between authorities by document type: education goes to the Ministry of Education, civil-registry and notarial documents to Justice, the police-clearance certificate to Internal Affairs, and medical and everything else to the MFA. All of them are in Kyiv.
How long does an MFA apostille really take?
From 20 business days - but only where the ministry decides to check the document with the institution that issued it. That query cannot be accelerated, so the time needs to be built into your travel or treatment plan in advance.
Can a translator cope with a handwritten doctor report?
Yes, it is routine work, but it is slower. We do not guess at illegible passages, we ask - which is why handwritten extracts are quoted only after we have reviewed the scans.
I was treated abroad. Do I need a translation for my insurer?
Yes, a Ukrainian insurer works with documents in Ukrainian. We translate invoices, discharge notes and prescriptions, reconciling amounts and drug names: those are the fields on which insurers most often return a file.
